Our client is seeking a dynamic Executive Assistant for their boutique offices, based in JLT. Working closely with the DMCC authorities, you will ensure operational effectiveness and support the continued growth of the business globally. The role will also provide strategic office management operational function and EA support to the highly entrepreneurial CEO, who is a dynamic personality.
This is a bespoke office environment and the incumbent will be the first port of call for operational and administrative issues for the office. This role is multi-faceted which will require a self-motivated and organized individual and it will involve wearing many different hats, including managing reception, full day to day office management responsibility and full EA support to three C-Suite executives, but predominantly to the CEO.
Key aspects of the role will focus on organizing and coordinating office administration and procedures, responsibility for developing intra-office communication protocols, streaming administrative procedures, manage office supplies and task delegation. Additionally, all day to day administration requirements, supplier agreements, liaison with DMCC authorities and complex diary, travel, and visa management for the CEO. The company is part of an international structure, hence there is considerable multi time scheduling for meetings, with the CEO travelling extensively between the US, Singapore, UAE, and Africa. The schedule constantly evolves so we are seeking proactive individuals who can mitigate problems before they occur and remain in control at all times.
Applications are invited from candidates who speak English fluently and are strong, independent thinkers. Our client has requested a degree in either a management / administration or commerce major with excellent administrative ability and full proficiency in MS Office. This specifically refers to advanced proficiency in MS Access and advanced Excel skills (v-look up and pivot tables). We are seeking candidates with strong proactivity, strictest levels of confidentiality, good organizational skills, and the ability to demonstrate high levels of accuracy and attention to detail.
We are seeking candidates with at least three years’ experience in a similar role and those candidates who have worked within the DMCC will be at a distinct advantage.
Start Date: August 1st.
