With a small team of mainly senior individuals based in Dubai, our new client is seeking an Executive Assistant who is immediately available. The business manages relationships with exceptionally high net worth individuals on a global scale, providing bespoke services directly to them and therefore the senior team now require further support within the office to ensure an efficient and professional service is given.
You will be a strong gatekeeper and a well organised individual capable of managing a busy diary and ensuring the owners of the business remain on schedule and therefore, have the time to ensure the success of the business. Very much the first point of contact for the office, you will liaise with overseas employees, clients and Board members with regards to queries and follow up actions required. This role requires an Executive Assistant that can remain one step ahead at all times and coordinate a busy office with all continuity including renewal of visa, trade licenses and all associated documents and legalities. You will prepare for and sit in Board level and highly confidential meetings to take minutes and therefore must be exceptionally discreet as you will be handling sensitive information on a very regular basis. Administrative tasks also include email inbox management, communication both internally and externally and collation of expenses for the wider team. Strong document control is also required with an emphasis, once again on security control as the Executive Assistant will act as a manager for all senior level electronic signatories and tracking of confidential data for company reportings on a regular basis.
This is a busy role and requires those with a strong all round skill set and a motivated and robust personality to cope with the pace of the office and the management of global time zones. Therefore flexibility on occasion is required. To be successful in the role we are seeking those with excellent English communication skills, 2-3 years of relevant Executive Assistant experience in Dubai and the ability to demonstrate confidentiality and discretion at all times.
